STATEMENT OF APPROPRIATE EVENT CONDUCT

THE OT LOVE TRAIN INC. referred to here as ‘OTLT’ strives to provide an event experience that is positive and rewarding for everyone. By attending an OTLT event, you agree to abide by this Event Conduct Policy. All attendees (including and without limitation to OTLT team members, guests, exhibitors and vendors) are expected to conduct themselves decently and with good judgment and common sense. That means at all times being respectful of others attending or working at our events, and of the venues in which events are held, including while in transit to and from such venues.

OTLT aims to provide a safe event experience for all attendees and does not tolerate inappropriate behavior or harassment in any form.

INAPPROPRIATE BEHAVIOR DEFINED

Inappropriate behavior includes, but is not limited to, harassing or defamatory verbal or written comments, displays of illicit images or use of illicit language, threats, intimidation and unwanted physical contact.
This Event Conduct Policy applies to your conduct at or in conjunction with an OTLT event, both on site and elsewhere and both during the event and after hours. A more complete description of harassing behavior is set forth in the OTLT Anti-Harassment Policy.

REPORTING THREATS/HARASSMENT

If at any time, you feel threatened or harassed, you are encouraged to report the incident directly to police via 911.
You may also raise an alarm in realtime or later contact OTLT at hello@theotlovetrain.com - Please include the date, time, location and a description of the incident being reported.

NOTICE OF FILMING AND PHOTOGRAPHY

This is an area where photography, audio and/or video recording may occur.
By entering, you consent to being photographed, filmed or otherwise recorded.
Such recordings may appear and be used in any and all media in perpetuity without compensation.

AGE RESTRICTIONS

Attendees are advised to adhere to the age restrictions advertised for OTLT events, where applicable.
OTLT reserves the right to admit or deny entry to events.

VALUABLES & POSESSIONS

Please be mindful of your environment and take care of your property in or outside the venue.
OTLT is not responsible for the security of any items in or outside of the venue.

UNAUTHORIZED SOLICITATION AND DISTRIBUTION OF MATERIALS

Solicitation of business on the premises of the event by anyone other than authorized OTLT exhibitors is strictly prohibited.
Distribution of flyers, pamphlets, notices and brochures at any OTLT Event, without the prior written consent of OTLT, is expressly prohibited.

SPEAKER / EXHIBITOR ENDORSEMENTS

The ideas and opinions offered at speaking segments presented during this event are solely those of the speakers and do not necessarily reflect the position, policy or opinion of OTLT.
The ideas and opinions presented by 3rd parties, and the products and services displayed by exhibitors or vendors at our event(s) should not be construed as a recommendation or endorsement of the products or services by OTLT.
In services promoting legal, financial, health or accounting matters, attendees should also consult trained professionals to address their individual situations.

EVENT CAPACITY & CELL PHONES

Seating is on a firstcome, firstserved basis.
The event location fire marshal reserves the right to close a session when the room has reached maximum capacity.
Cell phones should be silenced. OTLT reserves the right to remove any guest who is disruptive, regardless of paid registration.

ALLERGENS AND FOOD SAFETY

Allergens may be present in food served at OTLT events.
It is the responsibility of each attendee to contact the catering staff, stating their specific food allergies.

ALCOHOL POLICY

All attendees are ultimately responsible for their choices and behavior regarding the consumption of alcohol at this event.
Attendees should be aware they may be held individually or collectively liable for incidents from the uncontrolled or illegal use of alcohol.
Attendees are expected to act appropriately and decently at all times and to comply with OTLT’s values, which include self-preservation, mutual respect and being mindful.
The sale, availability or distribution of alcoholic beverages to anyone under the age of 18 is strictly prohibited.
Attendees are required to produce identification for verification that they can legally consume alcoholic beverages when requested.
Regardless of the number of attendees, service of alcoholic beverages at OTLT events shall be regulated to reduce the risk to the safety or well-being of Team Members, guests, the public, property and the OTLT brands. At events with attendees of 100 or more people, drink tickets may be utilized to help regulate attendees alcohol consumption at our events.
Alcohol will be stored and dispensed in a controlled service area accessible only to designated server(s). Common containers of alcoholic beverages will not be allowed unless controlled by the server. For example a bottle of wine may not be set on the table for attendees to serve themselves, but must be poured into a glass by the server.
All alcoholic beverages must be consumed within the area in which it is served. No containers, either open or closed, may leave the event area.
Drinking games or other activities which encourage the rapid consumption or the consumption of large amounts of alcohol are prohibited.
Obviously intoxicated persons will not be served alcoholic beverages.
It is always the sole responsibility of the attendees, and not OTLT’s, to ensure he or she does not operate a vehicle if his or her blood alcohol level exceeds the legal limit in the jurisdiction in which the event is being held.
Attendees must be responsible regarding their use of alcohol and abiding by the laws and policies of the state, country or organization where the event is being held. OTLT may take action against individuals whose use of alcoholic beverages negatively impacts the company’s brand, business operations or the health, safety and welfare of the other attendees or team members.
Attendees who do not comply with this policy may be ejected from the event and banned from attending future OTLT events.
Attendees with additional guest(s) are also responsible for the conduct and actions of their guest(s) at all OTLT events, and should ensure they remain in compliance with this and other event policies.

SMOKING POLICY

This is a completely smoke free event, smoking and use of vapors and e-cigarettes is prohibited in OTLT’s event venues.
Recognizing that exposure to tobacco, smoke, and e-cigarettes is a health hazard, and because no one has the right to impose a health risk on others, it is our policy to provide a smoke-free venue for our events.
Smoking and use of vapors and e-cigarettes is permitted on city-owned property as authorized by the city, or at any designated smoking area(s) provided by the facility.
